How do you find a hair extensions supplier you can reorder from for years — one that keeps quality consistent, ships on time, and does not disappear after the first payment? Whether you run a salon, a distribution business, or an online hair brand, the vetting process is the same. Here is the 7-point checklist we recommend to every new wholesale buyer — even the ones who end up ordering from us.
The first question to settle: is your supplier the factory itself, or a trading company reselling factory goods? Trading companies are not automatically bad — but they add a margin layer, and they rarely control production schedules or quality inspection. When you buy factory-direct, you talk to the people who actually make the product.
Ask for three things: the factory address, a walkthrough video of the production floor, and direct contact with the person responsible for your order. If those requests get deflected, keep looking. A real manufacturer should also be able to tell you exactly which products it makes in-house — for example, hand-tied wefts versus machine-sewn wefts — and which it does not.
Never place a bulk order from photos alone. Samples tell you what photos cannot: hair thickness end to end, cuticle alignment, the real shade, and how the hair behaves after washing. Test every sample the same way — wash it with salon shampoo, let it dry naturally, brush it out, and check for shedding, tangling and matting. Then install it if you can.
Reputable suppliers expect this. At Gelite Hair we offer free samples (1–2 packs) for qualified buyers and recommend the wash test to everyone — it is the fastest way to compare two suppliers.
Your color chart is a promise. Clients reorder the same shade for years, so ask how the supplier keeps shades consistent between batches — blondes are where most suppliers get exposed. Look for a numbered shade system, real stock photos of every shade, and a clear policy for dyeing custom colors when something is out of stock.
A supplier with a broad standing inventory (Gelite Hair keeps 50 shades in stock, from Natural Black 1B to Platinum Blonde) can ship the same shade next month — not next quarter.
High minimums are how new buyers end up with dead stock. Ask two questions: What is the minimum per shade? Can I mix colors and products in one order? Good answers are small minimums per shade with mixing allowed, so a first order can test several shades instead of betting everything on one.
For reference, our own MOQ is 5 packs per shade across all ten product types, with free mixing — the full MOQ guide is here.
Ask directly: do you do AQL 2.5 random sampling? What is your defect rate? What happens if a pack fails when it arrives? A supplier who cannot answer these questions in numbers is guessing at quality. Gelite Hair runs a 7-step QC pipeline on every batch with a defect rate consistently below 1.5% — and if you are not satisfied, we rework or replace at our cost.
Inconsistent lead times kill salon schedules. Ask for stock versus custom lead times, which couriers are used, and whether tracking is included. Also settle packaging early: plain protective packs, or your own branded packaging if you sell under your label.
Our standard answer: stock shades ship in 3–5 business days, custom colors in 5–7, and delivery runs 3–7 days anywhere via DHL, FedEx or UPS with tracking on every parcel.
Can the supplier grow with you? A workshop you can see — a hand-tied department, a machine-weft line, a dyeing station — is the difference between a manufacturer and a reseller with a warehouse. Capacity is also your insurance policy: when your busiest season arrives, the factory that makes the product controls its own schedule.
Quick version: factory in Heze, Shandong, China; hand-tied workshop and full production lines; ten product lines from Genius Weft and Machine Weft to Micro Rings; 50 stock shades; MOQ 5 packs per shade with mixing; free samples; 7-step QC with a defect rate below 1.5%; worldwide shipping in 3–7 days.
You can see the production floor on the factory tour, or go deeper in why buying factory direct saves you 30–50%.
